When it comes down to it, you love to create content, but it takes a lot of work and overwhelm to create consistent content. Before you know it, your pocketbook begins to feel the effects of your inconsistency.

You talk about being overwhelmed by all the things you do as an entrepreneur, and you've been debating whether to hire someone to help you.

When you're the owner with all the things falling on your shoulders, you know you can't do them all by yourself, but you're scared to hire someone because you don't have your stuff together.

The success of your future content assistant depends on how well you set up your content system before they even start. Start by recording videos or tangoing as you are doing the work yourself.

Create a step-by-step checklist in project management software and add each step as a task in your content creation template.

Know your budget and consider the amount of extra time you'll have each week. Begin slow and ramp up, and know what your child likes to do.

When something doesn't go right, the fault lies on your shoulders. If something didn't go right with a team member, it was probably because something was missed in the process, or the communication on how to do it was poor.

Do you feel you're running after a squirrel when it comes to consistently creating, organizing, and managing your content creation? 

Do you find yourself thinking, seriously, how do you even organize content? Without always wondering, where did I put that thing? More often than not, you find yourself going down a rabbit hole when it comes to locating any of your old content. It is scattered and disorganized. 

You know in your heart that you were called to make a difference with your business, called for more to create a change. Your time is precious; every minute counts. Even the thought of getting your content organized and systemized is overwhelming. What tech do I use? Howwww do I work it? and How do I make it work for MY brain?

Have you caught yourself saying, “Why is this so hard?” When it comes to your content creation for your online business? I know these are the exact words I used through sobs of tears as I dropped to my knees, praying for an easier solution to managing all the bits and bots of my content. In my mind, it just shouldn’t feel this hard and take this long to create content. For goodness' sake, I had enough on my plate with managing the crazy schedules of three active kids, fitting quality time with my husband, and household, all while running an online business. The weight of it all felt impossible. 

Throwing spaghetti at the wall every day, creating new content when really want I needed to do was take the time to sit down to create a repeatable workflow to no longer depend on my brain to remember it all, create a structure to organize my files and look for ways that everything I created worked together so that my content actually generated new leads.

After selling your services, how do you keep track of what needs to be onboarded and fulfilled? Do you have a good system to onboard new coaching client? Does that system work well, if at anytime you decide to have a sale for a quick cash injection into your online small business? Because if your cash injection all goes well you’ll have a number of new clients to onboard, right.

Here are some strategies and tools for that effective lead in client management, especially for coaches just starting out that may not have a lot of systems in place.

Let's begin with lead management for tracking those open orders.

Having a system in place is the first essential step.

You can use a simple spreadsheet or a CRM tool like HoneyBook to keep everything in check.

For those just starting a spreadsheet, Google sheets might seem basic, but it's incredibly effective.

A customer relationship management tool, such as HoneyBook, helps you manage leads and your client interactions. It's an all in one solution that grows with your business, so you don't need to switch systems later on.

You could also use a project management tool to track these open orders, so you create a task for each service request or new one-on-one coaching client, assign them to a team member, set deadlines and track that the overall process.

Regardless of which method you choose, it is important to establish a system to keep track of those orders.

Do you find yourself thinking, seriously, how do you even organize content? Without always wondering, where did I put that thing? More often than not, you find yourself going down a rabbit hole when it comes to locating any of your old content. It is scattered and disorganized. 

 

You know in your heart that you were called to make a difference with your business, called for more to create a change. Your time is precious; every minute counts. Does your online business have systems in place? By systems, I mean either a workflow or standard operation procedures (SOPs). These are really step-by-step guides to how you get your stuff done.

How could your online business benefit from systems?

When you walk through all the steps you take to get your tasks done, it will help you to find areas of opportunity that you can improve on. Writing out or documenting your step will allow you to streamline the process.

If you're a one-man show, it will allow you to quickly and easily transition tasks to a virtual assistant.

How do you start creating systems

Couple of ways to begin:

Either: Create an exhaustive list of items you complete in your business. Or: Track everything that you work on during a week. One of the first things I have my clients do is track what they are doing during the workday.

 

Pick One…

After you have a list, pick one that you'd like to begin with and brainstorm all the action items that are completed to get to the finish line. Or if you're a doer, as you are working through the process, track every step that you take. What to know the easiest way? Of course, you do; record your screen as you work. You get a two-for-one. You can have the video transcribed and put into a workflow, and your team member can watch you as you do the work. Can you say perfect training material for a new team member? (:

 

Evaluate The Process

Did you have any issues with your current process? Could you make the process better by streamlining or automation?

Lay It Out…

Begin to lay out the step and determine who should be completing them. Remember that as a business owner, just because you can do something DON'T mean that you should.

Write it Out…

When I set up SOPs for my customers, I put them in Google Documents with a Table of Content. This makes them easy to share.

Put It In…

Create a template for your Project Management System. If you do not have a project management system – get one. I use Clickup and LOVE it. But you also have Asana, Teamwork, MeisterTask, or Trello, to name my most preferred. 

Test It…

Once you have it all laid out, test the process and adjust the process. This is a living document, and it's essential to tweak it as your business grows and changes.

When I started my online business, I struggled to profit. I created tons of free content on my blog and various lead magnets or free offers. But I wasn’t getting a return on my investment, or it felt that way anyways.

And I was really starting to feel discouraged and frustrated. That's when I stumbled upon the concept of repurposing my content.

I stumbled upon this before repurposing was such a buzzword

in the online business industry.

Instead of constantly creating new content. I realized I could transform my existing content into something I could sell. This free content had already proven to be an asset to my clients by repurposing the free content into a tiny offer. I knew without a doubt that it would provide value.

And I no longer felt like I had valuable content just sitting out there, not being used as a resource for my business.

In this episode, I shared my top 20 software tools that I use weekly, both for my business and my client's businesses. If you're a busy entrepreneur juggling many tasks, exploring new software might not be high on your to-do list. That's where this episode comes in handy.

I discussed tools like Canva for image creation, Descript for podcast recording and editing, WordPress for website management, Notion for organization, Asana for project management, and Trello for client projects.

We also talked about UberSuggest for SEO, Google Workspace for email and file storage, Metricool for social media scheduling, Grammarly for grammar and spelling checks, and AI tools like ChatGPT and WordTune for content generation and editing.

I mentioned Style Stock Society for stock images, HoneyBook as my CRM software, Flodesk for email marketing, Podbean for podcast hosting, and an AppSumo software called Let's Connect, which features a chatbot for website interaction.

For SEO, I use SEMrush and Yoast SEO, and I also highlighted Social Curator for social media marketing education. Wrapping it up, I mentioned Yoast SEO for website SEO optimization and two tools, Tiny PNG and ImageOptim, for image size reduction without compromising quality.
